Energy Assistant
Part Time

This part-time, temporary position will assist with in-home energy assessments at multifamily properties as part of electric utility programs administered by the organization.

Purpose of Position:

Reporting directly to Conservation Consultants, Inc.’s Conservation Services Manager, the successful candidate will assist in-home energy assessments at multifamily properties as part of electric utility programs administered by the organization.

Essential Duties and Responsibilities:

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Assist CCI staff with in-home energy assessments for Duquesne Light customers in multifamily properties, for the Duquesne Light Whole House Retrofit Program (WHRP) and/or other similar programs that require in-home assessments.
  • Install energy-saving devices, such as LED light bulbs, smart power strips, etc.
  • Appropriately prepare for each visit, securing needed supplies (light bulbs, etc.), scheduling information, and customer information packets from CCI in advance of visits, and confirming all appointments with resident prior to arrival.
  • Support the lead generation effort for CCI programs with outbound phone calls if needed.
  • Support overall well-being of CCI’s facility and organization through various, as-needed tasks.

  • Must be able to lift 50 pounds regularly in the line of work.

Communications Intern
Internship

This position supports Marketing/Communications as well as Educational Progams at CCI (formerly known as Conservation Consultants Inc.), a non-profit organization based on the South Side of Pittsburgh. Purpose of Position:

This position is decided to support the Special Event & Program Manager with Communications tasks such as engaging with social media, helping to develop newsletters and e-blasts, and supporting special events, including education activities.

Essential Duties and Responsibilities:

Anticipated assignments include using constant contact to format and send e-blasts and e-newsletters, updating web site content,  updating and maintaining Google Adwords campaign,  and maintaining social media content and campaigns. Additional assignments will include providing logistical support for CCI’s annual fundraiser, Bluegrass & Blue Jeans, as well as supporting the planning of our new advocacy speaker series, Stepping Up.  Tasks may include things like sending out promotional materials, booking and confirming vendors, organization registration information, and assisting with event promotions.  Additional tasks may also be assigned from the Executive Director.  Direct supervision is from the Special Event & Program Manager with additional involvement from the Executive Director.

Purpose of Position:

This position provides management and critical back-office administrative and operational support to the Executive Director and the organization itself. It encompasses a broad array of duties. 

Essential Duties and Responsibilities:

This position is expected, with minimal supervision, to provide support and trouble-shooting as needed in administrative, facility, financial, IT, and human resources programming:

Manage Ongoing Financial Tasks to Support CCI Operations

  • Review  coding and tracking of all invoices by program managers on a daily basis, and directly code administrative invoices as appropriate
  • Forecast  cash flow projections and financial needs weekly
  • Track all facility-related expenses
  • Attend weekly meetings with the organizational bookkeeping service
  • Achieve proficiency in using QuickBooks software and familiarity with CCI financial documents and reports
  • Regularly produce standard financial reports through the QuickBooks software for colleagues
  • Train new staff and ensure that all staff are appropriately coding invoices, purchase requests,  and expense reports
  • Monitor Accounts Receivable and ensure timely payments to CCI, engaging with customers and vendors regarding outstanding invoices and payments as needed
  • Support Executive Director, with ED’s work annually to prepare organizational budget
  • Special projects as assigned

Provide General Administrative Support

  • Support Executive Director with respect to organizing board of director meetings, events and packets and occasional Board Committee meetings and other meetings led by the Executive Director
  • As needed, support logistics, refreshments and agendas for monthly staff meetings
  • Ensure timely preparation of Board financial materials for Board meetings
  • Responsible for planning (individually or with a team of colleagues)  annual staff holiday gathering and assisting ED in planning summer outing and/or other staff trainings or team-building efforts
  • Provide General customer service
  • Responsible for tracking all CCI customer contracts and annually reviewing and refreshing the list of contracts and maintaining hard copy and electronic files
  • Complete annual review to ensure contracts properly tracked
  • Responsible for overseeing others’ duties to track equipment and/or overseeing/tracking all CCI inventory/equipment
  • Responsible for maintaining a master inventory of all CCI staff training/credentials, reviewing the inventory quarterly and proactively prompting staff to renew credentials as needed
  • Perform annual internal audit of X-Ray Fluoresence (XRF) deviceto ensure compliance with DEP license requirements and with internal controls and systems

Manage Information Technology (IT) & Telephony

  • Working with vendors, ensure smooth operation of IT, phones and security for staff and building.
  • Serve as key contact point with external IT vendor, who are responsible for major issues.
  • Provide daily troubleshooting for minor staff IT issues
  • Maintain a current inventory and tracking of all CCI technology, equipment, software, etc. including the postage and Xerox machines
  • Pull monthly usage and billing reports for postage meter, photocopier and other equipment as needed
  • Serve as key contact point with external phone and Security vendors
  •  Special projects as assigned

Administer Benefits and Support Human Resources

  • Assist in updating and maintaining job descriptions, employment advertisements, employee time sheets and other non-sensitive documents
  • Process employee related benefits claims, such as short term disability, etc.
  • Maintain and oversee improvements to  employee documents such as the employee handbook, check request forms, reimbursement request forms, etc. as assigned and with direction from the Executive Director
  • Take lead role in employee benefits administration and negotiation annually
  • Special projects as assigned

Oversee Facility Management

  • Oversee the Building Manager, whose scope of work includes the following:
    • Directly schedule and oversee any vendor work needed to support the facility – e.g. cleaning services, snow removal, plumbing repairs, alarm system, etc.
    • Troubleshoot facility related issues
    • Ensure that the kitchen is kept tidy, emptying the dishwasher as needed, and prompting all-building refrigerator clean-outs on a periodic basis
    • Order needed building supplies
  • Prepare annual building maintenance budget and ongoing inventory of “needed maintenance items and cost estimates”
  • Manage annual update to checklists of weekly, monthly, quarterly and annual “to do” items related to facility and ensure completion of these items, recruiting team and additional resources as needed
  • Maintain vendor contracts and review/code vendor invoices
  • Manage all aspects of tenants
    • Track tenant leases
    • Troubleshoot tenant needs
  • Direct Building Manager to ensure that the facility is clean and presentable at all times
  • Attend Building Committee meetings

Purpose of Position:

Reporting directly to Conservation Consultants, Inc.’s Executive Director, this position directs all fee-generating programs at CCI that are not utility-based programs. This includes a program to conduct energy and healthy home assessments for a fee (Sound Home Plan), New Construction audits for EnergyStar qualification, CCI’s Lead Testing Services program, and the Energize Small Biz program geared toward small commercial establishments. The key objective for this position is to establish and/or operate each activity as a high-functioning, profitable market service tied to CCI’s mission and strategic plan.

Essential Duties and Responsibilities:

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. The percentage of time associated with each activity is estimated. With minimal supervision, providing support and trouble-shooting as needed to the Executive Director and the Director of Administration in the performance of their duties

  1. Manage the Sound Home Plan for “market rate” home energy audits and the Lead Testing Services launched by CCI
    • Manage CCI’s participation in the Department of Energy’s Home Performance With Energy Star program and meeting all required parameters.
    • Grow the annual number of assessments and income associated with both services per strategic plan goals.
    • Execute or oversee all program management documentation and processes, including:
      • Program overview introduction for internal and external audiences of CCI
      • Lead generation activity and processes – through campaigns, Apprenticeship program and/or channel partners or other means
      • Program operations – home check-ups, energy audits, report writing, report delivery to homeowner, conveyance of information to/from CCI
      • Recruit and work with regional weatherization and home health contractors as participants in the program
      • Review and meet program performance and financial targets
      • Where possible, integrate the program with CCI’s place-base and community education programs, along with other CCI professional training programs
      • Directly supervise/manage all staff hired under this program (currently this position supervises half of one FTE, which will be increased to a full FTE position as sales volume increases)
      • In collaboration with Executive Director and/or outside Public Relations services (as budget allows), devise and carry out promotional plan and activity for the Sound Home Plan, including participation in various community speaking and tabling events. Craft content (or oversee development of content) as needed for CCI marketing materials, web site, and social media to support this program
  2. Manage the Small Commercial Services program
    • Refresh business plan to build a small commercial service program at CCI
    • Build relationships with partners to drive program participation
    • Oversee/handle intake of all inquiries for small commercial audits
    • Handle program management and execution, including set-up, lead generation and systems.
    • Establish and meet program performance and financial targets
    • Integrate the program with CCI place-based and community education programs
    • In collaboration with Executive Director and/or outside Public Relations services, devise and carry out promotional plan and activity for the Small Commercial Audit service.
    • Actively promote the service through participation in related regional activities.
    • Write/generate content (or oversee development of content) as needed for CCI web site, social media and marketing materials to support this program.
  3. Grow the New Construction Audit Service
    • Develop a business plan for growing CCI’s activity supporting energy performance audits of newly constructed homes.
    • Establish and meet program performance and financial targets.
    • Actively promote the service through participation in related regional activities.
  4. Identify and grow other fee-based services for CCI, such as but not limited to:
    • Special research projects for fees
    • Multifamily projects
    • Services for new homeowners
  5. Cultivate and/or secure additional funding support – grants, fee-based services 
    • Cultivate and/or secure additional funding support – grants, fee-based services for this programming
    • Identify, engage, and oversee resources such as graduate student teams, interns, etc. to support fee based activity for CCI.
  6. Support CCI Activities
    • Coordinate and integrate Market Services with other CCI activities and programs.
    • Participate in representing CCI through tabling at events, including occasional evening and weekend assignments.
    • Cross-train to cover additional assignments if needed.
    • Actively contribute to CCI management team and as a CCI staff member.
    • Take lead responsibility for representing CCI with key partner(s), events, etc. as assigned and as appropriate to main job duties.
    • Support fundraising efforts – grants, events, donors.
